**Position Summary**
The Document Controller is responsible for managing, organizing, and controlling all project\-related documentation to ensure accuracy, quality, version control, and timely accessibility. The role ensures compliance with company procedures, client requirements, and regulatory standards.
**Key ResponsibilitiesDocument Management**
* Maintain and control all incoming and outgoing documents (technical, contractual, HSE, quality, vendor documents, drawings, submittals, etc.).
* Implement and follow the Document Control procedures, numbering systems, and filing protocols.
* Ensure proper version control, tracking, and distribution of documents to relevant stakeholders.
* Upload, track, and monitor documents in Document Management Systems (DMS) such as Aconex, EDMS, Procore, SmartPlant, or SharePoint.
* Manage transmittals, submittals, and correspondence logs.
**Quality \& Compliance**
* Ensure all documents comply with company standards and client specifications.
* Maintain document confidentiality and security.
* Conduct regular audits to verify the accuracy and completeness of documentation.
**Coordination \& Communication**
* Coordinate with project teams, engineering, procurement, construction, and QA/QC departments for timely submission and retrieval of documents.
* Communicate document\-related issues or delays to management.
* Interface with clients and subcontractors for document submissions and approvals.
**Reporting**
* Generate daily, weekly, and monthly document status reports.
* Track pending approvals, overdue documents, and revision histories.
**Qualifications \& Experience**
* Diploma or Bachelor’s degree in Business Administration, Engineering, or a related field.
* 3–7 years of relevant experience in document control, preferably in oil \& gas, EPC, or construction projects.
* Proficiency in Document Management Systems (Aconex, Procore, SharePoint, EDMS, etc.).
* Strong knowledge of ISO standards and project documentation practices.
* Excellent MS Office skills (Excel, Word, PDF management tools).

* Ability to handle large volumes of documents with proper tracking.
* Strong communication and coordination skills.
* Ability to work under pressure and meet tight deadlines.
**Additional Requirements**
* Must maintain strict confidentiality of sensitive project documents.
* Ability to work in multicultural and fast\-paced project environments.
* Familiarity with engineering drawings and technical documentation is an advantage.
